Hospital Appointment Booking System

The problem

A private hospital in Lahore was booking every appointment by telephone. Reception handled a constant queue of calls alongside the queue of people physically standing at the desk, and double bookings were routine because two staff could take the same slot at the same moment.

Patients could not book outside office hours, and no-shows were high because nobody was reminded.

What we built

A custom booking application with per-doctor availability at its core. Each consultant’s schedule, consultation length, leave and clinic days are configured once; the system will not offer a slot that does not exist, which removes double booking as a category of problem rather than reducing it.

Patients book online at any hour, and reception keeps a dashboard for walk-ins and phone bookings so both routes write to the same calendar.

Reminders

Automated SMS handles confirmation at the time of booking and a reminder before the appointment. This is the least sophisticated part of the system and had the clearest effect — a patient who is reminded the day before is substantially more likely to attend.

Fitting the way the hospital works

The build followed the hospital’s existing process rather than imposing a new one. Consultants keep their own schedules. Reception retains override control for the cases that do not fit a form — the elderly patient who always calls, the follow-up that needs a specific doctor, the emergency that displaces a routine slot.

A system that cannot accommodate exceptions gets worked around, and a system that gets worked around produces data nobody trusts.

Training and handover

Reception staff were trained on site over several sessions rather than handed a manual, and the source code, documentation and hosting account were transferred to the hospital on completion. Ongoing managed hosting keeps it patched, backed up and monitored.
